01 Scope
- Applies to all Safari Share departures booked via the Ikaze SafariShare platform, per vehicle group, regardless of how many vehicles depart on the same day.
- Currently covers Akagera National Park day trips. Other destinations may be added later under separate pricing schedules.
- Vehicle capacity: maximum 7 passengers. A departure is scheduled as its own independent booking group even when other vehicles depart the same day.
02 Booking Lifecycle
Each departure moves through four stages:
- Open — the departure is listed and accepting joiners, including a single solo traveler, right up to 48 hours before departure. Price per person is shown as an estimate that falls as more people join. Joining an already-open departure remains possible right up to that cutoff; starting a brand-new departure requires at least 72 hours' notice before the departure date, and no departure — new or joined — may be booked on the same day it departs. Ikaze staff can also add a traveler to an Open departure directly (e.g., via phone or WhatsApp enquiry).
- Confirmed — reached automatically 48 hours before departure. Vehicle and driver-guide are booked and the remaining balance is billed to all current travelers, based on the per-person price for that headcount; a traveler who joins after this point is billed their balance immediately upon joining. No traveler may board without a fully settled balance. If seats remain (up to 7 pax total), the departure stays visible and joinable for late-comers up to departure — Ikaze staff can add a late joiner directly, or a traveler can join themselves if self-serve booking is open for that departure.
- Locked / Departed — the trip date and time has arrived; no further changes to headcount or price.
- Completed — the trip has taken place; any retroactive refunds owed (see Section 4.3) are settled at this point.
There is no minimum headcount — every departure proceeds regardless of final headcount, since the vehicle cost is fixed for any group size from 1–7 pax.
03 Deposits & Payment
- A flat deposit of US$50 per traveler is charged to hold a seat when a traveler joins, regardless of current headcount.
- At T-72h (72 hours before departure), all travelers currently in the departure receive a "final call" notice showing their current per-person price ahead of the cancellation decision point.
- At T-48h (48 hours before departure), all travelers currently in the departure receive a notice showing their current per-person price, so they can decide whether to stay or cancel while cancellation is still free.
- A traveler who joins after the T-48h alert has already gone out receives their own price notice immediately upon joining.
- The remaining balance is billed automatically once the departure reaches Confirmed (see Section 4.1), based on the final per-person price for that group at that time.
04 Cancellations & Refunds
All refunds under this section exclude bank and card processing fees (e.g., Pesapal charges), which are non-recoverable once paid and are deducted from the refunded amount.
4.1 Cancellation cutoff
- Cancellations are accepted up to 48 hours before departure, with a full refund of the deposit.
- No cancellations are accepted within 48 hours of departure — this is also when the vehicle and driver-guide are booked and cannot be released without cost to Ikaze. A participant who can no longer travel within this window may instead transfer their seat to a replacement traveler, subject to the replacement completing any required booking steps.
4.2 Trip cancelled by Ikaze
- If a departure is cancelled by Ikaze (e.g., vehicle or logistics unavailability, force majeure, etc.), all participants are refunded in full.
4.3 Price adjustments from later joiners
- If additional travelers join a departure — including after it reaches Confirmed — after earlier travelers have already paid, and the resulting per-person price is lower, those earlier travelers are refunded the difference. This refund is issued after the trip is completed.
05 Pricing
Per-person price has two parts. The shared pool — vehicle cost + meals × pax + service charge × pax — is split evenly across the group: (vehicle cost + meals × pax + service charge × pax) ÷ pax. Park entry fee is not pooled: it is billed to each traveler individually, based on their own residency category (resident, African-foreign-resident, or non-resident) and any applicable child discount, since it varies person-to-person within the same group. A card processing charge, calculated on each traveler's own total, is added on top. The shared-pool portion falls as more travelers join the same departure; the park entry fee does not. Exact rates are maintained separately in Ikaze's current costing schedule rather than fixed in these Terms, so that this document does not need to be reissued each time a rate changes.
- A card processing charge is added to the pre-fee total and passed through to the customer, rounded up to the next dollar.
06 Inclusions & Exclusions
6.1 Included

- Non-resident park entry & game drive admission fees
- Vehicle entry fees
- Picnic lunch with one soft drink
- Shared 4x4 extended safari Land Cruiser with pop-up roof
- Licensed English-speaking driver-guide
- Free mineral drinking water (bring your own refillable bottle — Akagera National Park bans single-use plastic items, including plastic water bottles; visitors carrying them may be denied park entry)
- All local taxes
Pick-up times and locations vary by traveler and will be communicated before departure. Since IkazeShare participants are often staying at different accommodations, please be understanding as Ikaze coordinates the best possible pick-up/drop-off arrangement for the group. A meal menu is shared before departure for your selection.

07 Scheduling Limits
- Minimum 1 vehicle departure per day; maximum 5 vehicle departures per day.
- Minimum 1 passenger per day; maximum 35 passengers per day (5 vehicles × 7 pax).
08 General
- Ikaze Rwanda Tours & Travel acts as agent/broker for third-party suppliers (park authority, vehicle operator) and is not liable for supplier acts, omissions, or delays beyond its control, per the general Ikaze T&Cs.
- Disputes are resolved by arbitration under the laws of the Republic of Rwanda.
- Prices are quoted in US$ and are subject to change without notice due to park fee, tax, or fuel price changes.
